Archiving
NeoDocs AMS is a 'real time'
Document Management / Archiving and retrieval system. This means that documents
can be retrieved and viewed immediatley after printing. Also, by including scanning
it gives you the ability to match documents that are asscociated to the
original. Then users within the company can view output that was printed as well
as other associated documents
that have been scanned.
An example of the use of NeoDocs
AMS is in a distribution environment, where invoices are printed with a barcode
which represents the invoice number. The image (pdf, tiff etc) and the relevant
index keys are obtained and stored as the invoices are generated through NeoDocs.
The invoice then goes with the driver for delivery where it is signed for a proof
of delivery.
When the signed document comes
back it is then scanned using NeoDocs AMS barcode scanning and associated to the
original invoice. This process is done by simply putting the returned invoices into
the scanner's document feeder and clicking a button. Then any user that can access
the NeoDocs AMS server can view the original invoice and also any associated documents,
including the proof of delivery.
NeoDocs AMS works on a structure
of profiles which then include the archives. This means that a customer can have
different profiles for different meanings, such as branches, divisions or external
customers. This also means that you can restrict
the access to a profile so one
department cannot view another departments documents and so
on. The number of profiles a NeoDocs AMS server can have is only limited to the
disk space of the NeoDocs AMS server.
